Why Off-the-Shelf Provider Lists Underperform

You can download the entire NPPES file from CMS for free. It contains every NPI-registered provider in the country. And it's almost useless for targeted outreach in its raw form.

The NPPES file has no phone numbers, no emails, no practice size indicators, and no technology data. It doesn't tell you whether a provider is actively practicing or retired. It doesn't distinguish between a provider's primary practice and a hospital where they have privileges but never see patients. The taxonomy codes are self-reported and sometimes inaccurate. The addresses haven't been validated against anything.

Generic provider lists from data vendors aren't much better. They're built for broad use, which means they include everyone and filter for no one. You end up paying for tens of thousands of records you don't need and still missing the specific segment you do need. A list of "dermatologists in Florida" isn't useful if half of them are retired, a third are hospital-employed with no purchasing authority, and you really needed Mohs surgeons within 30 miles of Tampa who use a specific EHR.

Custom lists draw from the same multi-source database that powers all our data products. The foundation is the NPPES file, enriched with commercial contact data, technology detection, firmographic modeling, and social profile matching. When you define your criteria, we query across all of these layers simultaneously.

The process follows four steps. First, we consult with you to define the criteria and set expectations on list size and data coverage. Second, we build the initial list by running your filters against our database. Third, we run quality checks including deduplication, field validation, and confidence scoring. Fourth, we deliver the final list in your preferred format with a quality summary.

For complex criteria that combine multiple filters, the initial query may return a smaller list than expected. When that happens, we'll tell you before delivery and discuss whether to relax certain filters to increase volume. We'd rather deliver a smaller, accurate list than a larger list padded with marginal matches.

Data Quality and Delivery Standards

Every custom list comes with a quality summary that reports the total record count, the number of verified vs unverified records by field, the deduplication rate, and any records that were excluded during QA. This transparency lets you assess the list's suitability before you use it.

Our target is to deliver lists where at least 80% of core contact fields (name, address, phone) are multi-source verified. For enrichment fields like technology detection and revenue estimates, coverage rates vary depending on the target segment. If coverage on a specific field falls below a useful threshold for your list, we'll flag that during the consultation phase rather than delivering a list that disappoints.
