Why Your Reps Are Wasting Half Their Week on Bad Data
Medical device sales is a territory game. Your reps live and die by the quality of their contact lists. And right now, too many of them are spending Monday mornings updating spreadsheets instead of booking meetings.
The core problem is data decay. A rep starts the quarter with a territory list pulled from your CRM. Within 60 days, 15-20% of that list is wrong. Physicians change practices. Offices move locations. A surgeon who was at a hospital system six months ago is now at a private ASC across town. Your rep shows up to a call that doesn't exist anymore, or worse, pitches a physician who left the specialty entirely. According to the CMS NPI Registry, there are over 2.2 million active Type 1 (individual) NPIs in the United States, and the churn within that population is constant.
Then there's the targeting gap. Your rep sells a surgical implant used primarily by orthopedic surgeons who perform total joint replacements. But your CRM just says "orthopedic surgery." It doesn't distinguish between the sports medicine orthopod who never touches your product category and the joint replacement specialist who's your ideal buyer. Without subspecialty filtering and procedure-level intelligence, reps burn through their call lists hitting the wrong people.
Competitive intelligence is another blind spot. If a practice already uses your competitor's device, that's either a disqualification or a high-priority conversion target, depending on your strategy. But most sales databases don't tell you what technology or devices a practice currently uses. Your reps discover this during the first call, which means they've already spent the time getting there.
The Bureau of Labor Statistics projects continued growth in surgical and physician specialties through the end of the decade. The market is getting bigger, which means territory lists need to be refreshed more often, not less. Static annual data pulls don't cut it anymore.
How Medical Device Sales Teams Use Provyx
Device sales organizations use Provyx to build and maintain territory-level contact lists that stay accurate and filter down to the subspecialty level. Here's how.
Territory list builds by subspecialty. Instead of pulling every orthopedic surgeon in a zip code range, you tell us the exact subspecialty, the procedure types your device supports, and the territory boundaries. We deliver a list of surgeons and physicians who match, with their current practice address, NPI, and direct contact information. Your reps start the quarter with a list they can actually work.
Practice setting filters. Your device might be used in hospitals, ambulatory surgical centers, or private clinics, but not all three. Provyx lets you filter by practice setting so your reps aren't calling on facilities where your product isn't relevant. This alone can cut wasted outreach by 30-40% for reps covering mixed territories.
Decision-maker identification. In a group practice or hospital department, the physician who uses your device isn't always the one who makes the purchasing decision. Provyx records include the practice owner or administrator name alongside the clinical provider, so your rep knows who to ask for when they call.
Technology and device detection. Our technology detection add-on identifies what EHR, practice management software, and in some cases, what device brands a practice is associated with. This helps your team prioritize competitive displacement opportunities or avoid wasting time on practices already locked into long-term contracts with a competitor.
CRM refresh and enrichment. You don't need to replace your entire CRM dataset. Send us your existing territory list and we'll match it against current records, flag entries that have gone stale, fill in missing fields, and append new contacts that match your criteria but weren't in your system. Most clients do this quarterly.
New market entry planning. Launching a new product or expanding into a new territory? We can build a ground-up list of every provider in a defined geography who matches your target specialty and practice setting, giving your reps a head start before they make a single call.
What Data You Get in Every Record
Each record is assembled from public NPI registries, business listings, and commercial databases. Standard fields include:
- Provider name with credentials and practice or facility name
- Full practice address, validated and geocoded for territory mapping
- Business phone number, verified as active
- Practice website URL
- Owner or decision-maker name at the practice level
- NPI number and taxonomy codes for specialty and subspecialty classification
- LinkedIn profile URL where available
Add-ons for device sales teams:
- Direct email addresses for the provider or practice administrator
- Mobile phone numbers for decision-makers
- Practice firmographics: provider headcount, estimated revenue, practice setting type
- Technology detection: EHR system, practice management software, and associated device or equipment data where available
Data is delivered as CSV or Excel, formatted for direct import into Salesforce, HubSpot, Veeva, or whatever CRM your team uses.
How It Works
Step 1: Define your territory and target. Give us your territory boundaries (zip codes, MSAs, states, or custom polygons), the subspecialties you sell to, and any practice setting or size filters. If your reps have existing territory sheets, send those and we'll work from them.
Step 2: We build and verify your list. Records are pulled from NPI registries, business directories, and commercial databases, then cross-referenced for accuracy. We validate addresses, phone numbers, and practice associations. Duplicates are removed and records that don't meet our confidence threshold are flagged or excluded.
Step 3: Delivered in days. Standard territory builds are delivered within 3-5 business days. You get a clean file ready for CRM import, plus a data summary showing record counts by specialty, geography, and practice setting so your sales ops team can allocate territories immediately.
Frequently Asked Questions
Frequently Asked Questions
Can you filter by the procedures a surgeon performs?
We filter primarily by NPI taxonomy codes, which map to specialties and subspecialties recognized by CMS. For surgical specialties, taxonomy codes often align closely with procedure categories. For example, we can separate spine surgeons from sports medicine orthopedists. If you need filtering beyond what taxonomy codes provide, we can layer in additional data points from commercial databases to narrow the list further.
How often should we refresh our territory data?
Most device sales teams see meaningful data decay within 90 days. We recommend quarterly refreshes for active territories. Some clients with high-churn specialties or fast-growing markets refresh monthly. The cost per record drops on refresh orders because we're updating an existing dataset rather than building from scratch. We can set up an automated schedule so your reps start each quarter with a clean list.
Can you integrate with Veeva CRM?
We deliver data in flat file formats that are compatible with Veeva's import tools. We don't offer a direct API integration with Veeva at this time, but the CSV output is structured to match Veeva's standard field mapping. Several of our device sales clients import Provyx data into Veeva without issues. If you need a custom field mapping, we'll adjust the export format to match your configuration.
What's the difference between your data and what we get from our existing data vendor?
Most enterprise healthcare data vendors sell broad, pre-packaged datasets with annual update cycles. Provyx builds targeted lists on demand, filtered to your exact criteria, and verified at the time of delivery. You're not paying for 8 million records when you need 3,000. Our pricing reflects the actual scope of your request, and the data is fresher because it's built to order, not pulled from a static warehouse.
