You Can't Sell Software to Practices You Can't See
You've built a great product. Maybe it's a practice management platform, a telehealth solution, a patient engagement tool, or a scheduling system. You know which types of practices would benefit most. The problem is finding them and figuring out who to call.
The biggest frustration for healthcare SaaS sales teams is the technology blind spot. You need to know what systems a practice currently runs. If they're on a legacy EHR that's about to lose support, that's a prime prospect. If they just signed a five-year contract with your biggest competitor, that's a waste of your SDR's time. But most provider databases don't include technology data. You find out what a practice uses on the first discovery call, after you've already spent the effort getting there.
Practice size matters too, and it's surprisingly hard to pin down. A solo dermatologist and a 15-provider dermatology group have completely different buying processes, budgets, and implementation requirements. Your product might be built for one and not the other. Generic databases list both under "dermatology" with no way to distinguish them. Your reps end up qualifying practice size manually on every single call.
Then there's the decision-maker problem. In a small practice, the physician owner makes every technology decision. In a mid-size group, it's usually an office manager or practice administrator. In a larger organization, there might be a dedicated IT director. Your outreach needs to reach the right person, but most contact databases only list the NPI-registered provider, not the operational decision-maker. The NPI Registry is a good starting point for identifying practices, but it tells you nothing about who handles technology purchasing.
On top of all this, the healthcare SaaS market is getting crowded. The ONC (Office of the National Coordinator for Health IT) tracks certified health IT products, and the number of vendors has grown every year. To compete, you need to prospect more efficiently, not just more aggressively. That means starting with better data.
How Healthcare SaaS Vendors Use Provyx
SaaS sales teams use Provyx to build prospecting lists that go beyond name and address. Here's what that looks like.
Technology-filtered prospecting. Our technology detection add-on identifies what EHR, practice management, scheduling, and patient communication tools a practice uses. You can build a list of practices running a specific competitor's system, practices using outdated or unsupported software, or practices with no web-visible technology stack at all. Each of these segments represents a different sales motion, and Provyx lets you separate them before your first outreach.
Practice size segmentation. Filter by estimated provider count, revenue range, or number of locations. If your product is built for practices with 3-20 providers, you don't need to wade through solo practitioners and hospital systems to find your sweet spot. We'll deliver only the records that match your ideal practice profile.
Decision-maker targeting. Standard records include the NPI-registered provider, but our enrichment identifies practice administrators, office managers, and IT contacts where available. For SaaS sales, reaching the person who evaluates software is often more important than reaching the physician. We help you find both.
Specialty-based product-market fit lists. If your telehealth platform works best for behavioral health providers, or your scheduling tool is optimized for dental practices, you can build lists filtered by taxonomy code to match your product's strongest use case. This focuses your SDR team on the segments where your conversion rate is highest.
Competitive displacement campaigns. Targeting practices that use a specific competitor? Combine technology detection with specialty and geography filters to build a highly targeted list for competitive displacement outreach. Some of our SaaS clients run dedicated campaigns against specific competitors and see 2-3x higher response rates compared to broad prospecting.
Territory assignment and capacity planning. Before you hire your next AE or expand into a new market, use Provyx data to size the opportunity. How many practices in a given metro match your ICP? Is the market big enough to justify a dedicated rep? This kind of analysis takes days with manual research and hours with the right dataset.
What Data You Get in Every Record
Records are built from public NPI registries, business listings, and commercial databases. Standard fields:
- Practice name and DBA name
- Full practice address, geocoded and USPS-validated
- Business phone number, verified active
- Practice website URL
- Owner or decision-maker name
- NPI number and taxonomy codes
- LinkedIn profile URL where available
Add-ons that matter most for SaaS sales:
- Technology detection: EHR vendor, practice management system, scheduling tool, patient portal, telehealth platform, and other web-visible technologies
- Direct email addresses for providers and administrators
- Mobile phone numbers for decision-makers
- Practice firmographics: provider count, estimated revenue, years in operation, number of locations
Technology detection is sourced from web crawling, DNS records, job postings, and commercial technology databases. Coverage varies by practice size and web presence; larger practices with active websites have the highest detection rates.
How It Works
Step 1: Define your ideal practice profile. Tell us the specialty, practice size, geography, and technology criteria that define your best-fit customer. If you've got a scoring model or ICP document, send it over. We'll translate it into data filters.
Step 2: We build your prospecting list. Records are pulled from NPI registries, business directories, and commercial databases, then enriched with technology detection and firmographic data. Every record is de-duplicated and validated before delivery.
Step 3: Delivered in days. Standard lists arrive within 3-5 business days. You get a formatted file ready for CRM import, plus a breakdown of record counts by specialty, geography, technology stack, and practice size so your sales ops team can segment and assign immediately.
Frequently Asked Questions
Frequently Asked Questions
How accurate is the technology detection data?
Technology detection accuracy depends on the practice's web presence. For practices with active websites, we detect EHR and practice management systems with high confidence when those systems have web-facing components (patient portals, online scheduling, etc.). Detection rates are lower for practices with minimal web presence or those using systems that don't expose identifiable signatures. We report confidence levels alongside technology data so you can prioritize accordingly.
Can I get a list of practices NOT using any EHR?
We can identify practices where we detect no EHR or practice management system. This could mean they genuinely don't use one, or it could mean their system isn't web-visible. For very small practices, especially solo providers without websites, the absence of detected technology is often a real signal. We'll flag the distinction so your team can interpret it correctly during outreach.
Do you track when practices change their technology?
Our technology detection is run at the time we build your list, not continuously monitored. If you order quarterly refreshes, we'll flag practices where the detected technology has changed since your last order. This is useful for identifying practices that just switched systems (and may be unhappy with their new vendor) or practices that recently adopted their first digital tool.
What CRMs can I import Provyx data into?
We deliver flat CSV or Excel files that work with any CRM that supports standard imports: Salesforce, HubSpot, Pipedrive, Zoho, Close, and others. We can customize column headers and field formatting to match your CRM's import template. If you need a specific format, let us know when you place your order and we'll adjust the output.
