The Data Problem Holding Your Campaigns Back
Your clients hire you because you know healthcare marketing. They expect targeted campaigns that reach the right providers in the right geography with the right message. But the moment you sit down to build a prospect list, the problems start.
Most generic business databases treat "healthcare" as a single category. You get a dump of names and addresses with no way to distinguish a solo chiropractor from a 40-provider orthopedic group. Your dental client doesn't need a list of every provider in Phoenix. They need endodontists and pediatric dentists within a 15-mile radius who own their own practice and have a website worth sending traffic to. That level of specificity is almost impossible to get from the databases most agencies rely on.
Then there's the accuracy problem. Your team pulls a list, loads it into your email platform or direct mail vendor, and 15-20% of records bounce or come back undeliverable. That's not just wasted spend. It damages your sender reputation, tanks your deliverability on future campaigns, and forces an uncomfortable conversation with your client about why the numbers look soft.
Agencies serving dental practices, med spas, chiropractic offices, and mental health providers feel this the hardest. These verticals have high turnover, frequent address changes, and lots of sole proprietors who don't show up in enterprise databases. You end up spending hours manually verifying contacts through the NPI Registry and Google searches, which is time you should be spending on strategy and creative.
The alternative is expensive. Enterprise data providers want annual contracts starting at $20,000 or more, and they're built for pharma companies and hospital systems, not a 12-person agency running campaigns for dental groups. You don't need 10 million records. You need 2,000 accurate ones, segmented exactly the way your campaign requires.
How Healthcare Marketing Agencies Use Provyx
Agencies use Provyx to build campaign-ready lists that match the exact targeting criteria their clients need. Here's what that looks like in practice.
Specialty-specific email campaigns. You're running an email sequence for a dental SaaS client targeting general dentists who own their practice. Provyx delivers a list filtered by taxonomy code, practice ownership, and geography, with verified business email addresses attached. You load it straight into your ESP without a manual scrub step.
Direct mail for med spas and aesthetics. Med spa marketing is one of the fastest-growing niches in healthcare marketing. You need practice addresses, owner names, and some sense of practice size so you can tailor your mailer. Provyx lists include the practice address, the business phone, the owner or decision-maker name, and the NPI-linked specialty, so your segmentation is clean from the start.
Lookalike audience seeding. You take a Provyx list of chiropractors in a target market, upload it as a custom audience to your ad platform, and build a lookalike. Because the seed list is tightly targeted by specialty and geography, the lookalike performs significantly better than one built off a broad healthcare list.
Market sizing for client pitches. Before you even sign a new client, you need to know how large their addressable market is. How many mental health providers are there in the Atlanta metro? How many have a web presence? Provyx data helps you answer that in hours, not days. The Bureau of Labor Statistics publishes macro-level workforce numbers, but Provyx gives you the practice-level detail you actually need for campaign planning.
Re-engagement and win-back campaigns. When a client's existing patient outreach list goes stale, you can cross-reference it against Provyx data to identify which practices have moved, closed, or changed ownership. This keeps your client's CRM clean and your campaigns hitting active targets.
Multi-location targeting for franchise clients. If your client operates across multiple markets, you can pull segmented lists for each location's service area separately, with consistent data fields across every market. No more stitching together data from three different sources with three different formats.
What Data You Get in Every Record
Every Provyx record is built from public NPI registries, business listings, and commercial databases. Here's what a standard record includes:
- Practice name and doing-business-as (DBA) name where applicable
- Full practice address, geocoded and validated against USPS records
- Business phone number, verified as connected and associated with the practice
- Practice website URL where available
- Owner or decision-maker name linked to the NPI record
- NPI number and taxonomy codes for specialty classification
- LinkedIn profile URL for the provider or practice owner where available
For agencies that need deeper targeting, we offer add-ons:
- Direct email addresses (personal or role-based, depending on availability)
- Mobile phone numbers for decision-makers
- Practice firmographics: estimated revenue range, provider count, years in operation
- Technology detection: what EHR, practice management, or scheduling software the practice runs
All fields are delivered in a flat CSV or Excel file, formatted to drop directly into your CRM, ESP, or ad platform.
How It Works
Step 1: Tell us your target criteria. Share the specialty, geography, practice size, and any other filters your campaign requires. If you're not sure how to define your targeting, we'll help. Most agency clients send us a brief or a campaign spec, and we translate it into data filters.
Step 2: We build your list. Our team pulls, matches, and verifies records against multiple sources, including the NPI registry, business directories, and commercial databases. We de-duplicate, validate contact information, and flag any records that don't meet our accuracy threshold.
Step 3: Delivered in days, not weeks. Standard lists are delivered within 3-5 business days. Rush delivery is available for time-sensitive campaigns. You get a clean, formatted file ready for import, plus a summary of match rates and any records we excluded and why.
Frequently Asked Questions
Frequently Asked Questions
Can I order lists for multiple specialties or geographies at once?
Yes. Most agency clients order segmented lists covering several specialties or markets in a single request. We deliver them as separate tabs or files so you can load each segment independently into your campaign tools. There's no limit on the number of segments per order, and pricing scales with total record count, not the number of filters.
How accurate are the email addresses?
Business email addresses in our standard records are sourced from public listings and verified against mail server responses. We typically see deliverability rates above 90% on business emails. Direct personal emails, available as an add-on, go through an additional verification step. We don't guarantee 100% deliverability because email infrastructure changes constantly, but we replace or credit any batch that falls below our stated accuracy threshold.
Do you offer ongoing or subscription-based list delivery?
We do. Several agency clients receive refreshed lists on a monthly or quarterly basis, especially those running ongoing campaigns for retainer clients. Subscription pricing is lower per record than one-time orders because we're updating an existing dataset rather than building from scratch each time. Contact us to set up a recurring delivery schedule.
Can I white-label Provyx data for my clients?
The data you purchase is yours to use in campaigns and deliverables for your clients. We don't require Provyx attribution on your reports or exports. Some agencies include our data in market analysis decks or append it to client CRMs as part of their service offering. If you need a specific licensing arrangement for resale, reach out and we'll work through the details.
